22 February 2010 Meeting Minutes

The meeting begins by taking note of those present and apologies received for not attending.

Mr White begins by mentioning that the next musical to be prepared by the school is “The Sound of Music”. Miss Plummer who is organizing says that help with costumes and props is welcomed (please ask volunteers to contact her directly).

Mr White asks if we have any comments to make on his responses to concerns and ideas we put forward at our meeting in December. He hands out a document prepared by him on the role and structure of the Parents’ Forum and reads through the points. He mentions that when he was initially approached by the parents’ group the idea of the forum was to improve communication between parents and the school and to channel the concerns of our classes. Therefore he does not see the nee for our committees which it seems has caused concern amongst the teaching staff. (I am attaching the document for those who were absent). We agree with Mr White to have a week to go back to him with any feedback on this document.

Fermin and Ulrike and Francesc explain that these committees are simply a means for better organisation within the Forum, where topics are discussed and resolved and then reported back in the formal Forum meetings.

Mr White thinks that concerns can be resolved and decisions made in the smaller group meetings without committees and is concerned about the negative impression it creates. We propose to give a presentation to the teaching staff to introduce ourselves and our role within the school community.

Fermin says that the Forum is a learning process for us parents. We need to learn to communicate with parents. We are not here to tell anyone what to do or how to do it. Mistakes will be made but we want to help and contribute. And though initially it may seem that there is more negativity there is actually a lot of positivity.

As per the agenda, each group discusses progress made in its area.

Parents For Fun

The sponsored walk is talked about and Mr White says that this year he would like to expand on the idea and make it a more fun event.

Cristina reports on her meeting with Mrs Serra regarding the sponsored walk which this year will raise money for Haiti.

Other ideas are proposed such as celebrating carnival with a float and Guy Fawkes (for those of you not familiar with this tradition, it goes back to the early 1600 when a group of men (Guy Fawkes was one of them) who were unhappy with the persecution of English Catholics during the reign of James 1, decided to blow up the Parliament.  The plot failed and bonfires were lit to celebrate that the king was not hurt. Since then, the 5th of November is known as bonfire night and is celebrated each year with fireworks and bonfires).

We request the use of the school premises on occasional weekends to organise events and Mr White sees no reason why this can not be done. He is very happy and open to our contribution in organising and helping with fun events. Cristina proposes to give a written list of events to Mr White.

Karen asks what is the best way to give news to parents. Mr White thinks it is best to initially channel it through the school. He will make an announcement in the school’s name which should make those parents more reluctant towards a Parents’ Forum more open to suggestions. In his announcement he will name contact persons. He will initially lead the way for us.

Fundraising

Karen explains that a statement should be made explaining why in a private school we still need to fundraise and why it is necessary.

It has to be made clear that the school is not making savings or replacing/allocating expenditure. The money raised would be in addition to that.

The first event proposed by this group is a summer fair. It is thought best to keep it separate from International Day.

Karen brings up questions such as how to account for funds, the best way to go about it for tax purposes. Mr White thinks it is better to do it through school and will discuss with Luis Farrès.

Other questions such as whether additional insurance and alcohol license will be necessary at these events.

Education

As time is running out, it is agreed that the Education group will meet in a smaller meeting with Mr White.

Communication

Status of school website:

The information management system has been working for a month though at the moment it is only the framework. All information (pupils name, contact detail, personal information relating to each pupil) has to be introduced. As the systems is English, there have been problems with the number of Spanish surnames and the software engineers have had to adjust the programme to allow for this.

There will be within the school website, a parents portal. We will have a password and initially we will be asked to make sure the information available on our child is correct. Eventually we will be able to access report cards and compare with previous years. We will be able to access their class timetable.

It is likely to be ready to go live after Easter. The problem is the language. Headings and texts require translation.

Rosa speaks of the different options available to the parents forum and the parents in general. There is a forum for internal communication between members of the Parents’ Forum, a blog which is open to everyone and we propose a newsletter to communicate the same content to all the classes. Mr White’s concern is that he will not have editorial power over it and Cathalijne makes clear that the Newsletter will not be distributed until we have Mr White’s approval.

A smaller group meeting with Mr White is proposed in order to discuss the Newsletter further.

The idea is to create a sense of community not them and us.

School Services

Three proposals were made:

- Have a meal with Mr.White  in the school lunchroom to assess the situation and be able to inform the other representatives. Mr. White did not rule out the idea, adding that he was awaiting the outcome of school dinners he had had with other parents.

- Assess the alternatives to the supplier of uniforms, to which Mr. White was receptive

- The third proposal was to open a philosophical debate about that School Services should not be perceived as a source of income for school, but as a service to a community. Mr White identified with the proposal, adding that in this respect he has to follow the guidelines set by Cognita.

The meeting ends and the next meeting is set for  19th April at 3 p.m.

Mr White comienza la reunión tomando nota de los delegados presentes. Tiffany Wright y Cristina Gasull envían sus disculpas por no poder asistir.

Mr White hace referencia al acta de la reunión anterior a 14 dic comentando que se debe rectificar el comentario hecho sobre los Señores Farré. Esta rectificación ya se ha realizado y todos debéis haber recibido el acta rectificado.

Tammy Beaulieu presenta a los tres delegados de los grupos formados para tratar los temas e inquietudes recibidos por parte de los padres de la escuela. Ellos son:

1. Karen nos habla de los siguientes temas propuestos por los padres de secundaria:

Enseñanza:

Se debería considerar como opción el International Baccalaureate. Muchos colegios en el Reino Unido ya lo ofrecen en su programa y las universidades también se muestran interesados.

Las reuniones de padres y profesores requieren una reorganización y yo personalmente considero que sería beneficioso que asistieran los hijos. (Mrs Hughes acepta esta idea).

¿La escuela podría ofrecer más opciones de asignaturas para A Levels, p. ej Económicas?

Atención especializada para alumnos con problemas de aprendizaje

De alguna manera ¿se podría hacer uso de los padres en las clases como p.ej ayuda en lectura, sacar punta a los lápices, recogida de libros?

¿La escuela podría ofrecer el examen de English Proficiency?

¿Existe un límite de alumnos por clase y se requiere un nivel de inglés para entrar en la escuela?

Aumentar deportes en equipo.

Intercambio de idiomas: ¿podría introducirse un programa con los colegios de Cognita en Reino Unido y Francia? Además de intercambios de fin de semana con escuelas locales?

¿Podríamos introducir un club de lectores para nuestros hijos? Funcionaría de manera parecida a un club de lectores para adultos. Lo podría dirigir un padre voluntario, con encuentros mensuales para hablar del libro.

Excurisones/Actividades

Debería introducirse al programa de Duke of Edinburgh el nivel de plata ya que sólo existe el nivel bronce en estos momentos.

Excursiones y viajes más económicos

El coste de las actividades extraescolares hace que estos sean inaccesibles para muchas familias. Nos gustaría saber cuántos se han apuntado este año. Además, dos horas es muy largo para los niños al final de una jornada escolar. Incluso el sport club para los más pequeños tiene una duración de 2 horas!

Recaudación de Fondos

Recaudación de fondos para música y libros. Algunos de estos se pueden haber dado a una organización caritativa.

Los recursos siguen requeriendo mejoras. La biblioteca sin duda debe ser una prioridad.

El departamento de Arte necesita cosas que podrían utilizarse de manera creativa. ¿Podríamos pedirle a los padres que nos donen objetos innecesarios en lugar de tirarlos a la basura. ¿Podemos organizar un sistema para donaciones de este tipo?

¿Podríamos organizar recaudación de fondos para la compra de un minibus? Se podría utilizar para excursiones cortas turnándose las clases.

Donación e intercambio de libros

Catering/Uniforme

El tema de catering se tiene que resolver. Deberían pedir presupuestos a otras empresas. Cúal fué el resultado de la enquesto sobre el menu Sandwich?

Intercambio de uniformes

Mejora en la calidad de uniformes y más fácilidad a la hora de comprar.

En este momento, una madre de Year 10 pide la palabra para comentar un tema de gran importancia que está afectando la clase de su hijo. Es referente a las clases de matemáticas en year 10.

Mr White comienza a responder a los puntos empezando con el programa de IB. Pero, dada la escasez de tiempo, Mr White dice que responderá a los comentarios por escrito.

2. Francesc habla de los temas que afectan Year 3-6:

Uniformes: calidad/precio

La información sobre muchas cosas se recibe tarde (calendario escolar/actividades extraescolares)

Falta de deportes-creación de acuerdo con el club deportivo al lado de la escuela

El nuevo poli crea problemas para los niños ya que no pueden utlilizarlo sin calzado adecuado.

Necesidad de más supervisión en el patio y vigilar comportamiento

Intercambio de uniformes

Necesidad de más tiempo/ayuda para preparar disfraces Navidad

Atención individualizada (Diferenciación) en clase: muchos padres no están seguros de como funciona

No hay suficientes excursiones y el coste es elevado

El nivel de enseñanza es alto pero las cuotas son muy altas para las instalaciones y actividades que ofrece la escuela

Las clases en primaria son más grandes que en secundaria. La infraestructura de secundaria ¿podrá con este número de alumnos y a la vez mantener nivel de ensañanza?

Entrada y salida algo caótico. Se podría organizar de alguna otra manera? Escalonar la entrada?

Falta de libros en biblioteca

La escuela debe utilizar las cuotas para suministrar equipamiento, no hacerlo mediante sorteos y subastas

Entrada de autobuses muy caótico. Difícil para los niños encontrar su bus sin la ayuda de la monitora.

Piojos-muchas cartas avisando de ello pero muchos no saben qué es lo que tienen que buscar-hacer

3. Monica habla de los temas de Early Years:

Protocolo Gripe, se están tomando medidas de prevención? Nota informativa de la necesidad de comunicar futuros casos por el bien gral?

Comedor: Vigilancia, Comida Saludable, alternativas más saludables, obligatoriedad de utilizar el comedor

Patio: Vigilancia, Seguridad, Prevención de accidentes o posible mobbing

Servicio de Psicología en el colegio, seguimiento por parte del profesorado

Cámaras de Seguridad exteriores

Biblioteca: Recaudación de libros, Préstamos a niños, gestión

Uniformes: demasiada rigidez por parte del colegio? Calzado, Abrigos?

Excursiones: son pocas? Podemos lograr incrementarlas? Podemos hacer propuestas de excursiones de 1 día, 2 o 1 semana?

Talleres de actividades  extraescolares, se pueden proponer e impartir en el colegio por padres cualificados que deseen voluntariamente ofrecerlos?

Actividades Extraescolares: una mayor antelación, mejor comunicación, descripción de lo que nuestros hijos van a desarrollar, es imprescindible

Competitividad en clase: es el mejor sistema para todos los alumnos: ansiedad, estrés, capacidad de adaptación a los nuevos retos

Valores Humanos, sociales, compartir, generosidad, ayuda voluntaria por parte de alumnos aventajados a otros que no lo son. Se promueve en el BSB

Protocolo de salida de padres del colegio: Cuestionario de calidad a todos los niveles por parte del colegio: Se van sólo por motivos económicos?

Existe alguna normativa que impida crear un sistema de Becas subvencionadas por el Colegio y la Generalitat conjuntamente para los alumnos?***

Festivales: Existe alguna posibilidad de que alguien profesional grabe los festivales y se entreguen posteriormente a los padres como las fotos de Navidad

Existe algún motivo por el que no disponemos de un horario de actividades por horas, días y semanas de las actividades que realizan nuestros hijos

Existe alguna posibilidad de que la página web del colegio nos de informaciones a los padres que ya estamos en el colegio de temas que se tratan en clase

Los alumnos son informados de posibles peligros en la Red (Internet) por especialistas, hay alguna visita externa de Policias que les den una charla a los niños

Mr White nos comenta que la nueva página web del BSB con un portal para los padres deberá estar en marcha como muy tarde para finales de enero.

Mr White concluye la reunión a las 4 diciendo que le hubiera gustado haber visto lo expuesto por escrito antes de la reunión y también haber podido responder a los comentarios.

La próxima reunión está prevista para el lunes 22 de febrero a las 3 de la tarde.

Mr White goes through members attending. Apologies for not assisting have been received from Tiffany and Cristina.

Mr White goes on to make reference to the minutes of the previous meeting. There will be an ammendment made to the minutes and will be re-sent to include new representatives.

Tammy presents the reps from the three area groups formed to deal with comments received from parents in the school. These are:

1.Karen sets out the following points made by Secondary parents:

Education

Y7 Y9 Y10  The International Baccalaureate should be considered as an option. Many schools in the UK are offering it now and the universities are very keen.

Y7 Y9 Y10  Parent’s evening needs reorganisation and I personally think the children would benefit from being there. (Mrs Hughes is open to this).

Y10 Can the school provide a wider choice of A level subjects eg. Economics?

Y7 Y10 Special needs

Y10 could the parents be used as class help in any way e.g. reading assistance, pencil sharpening! Book tidying.

Y7 Can the school offer English Proficiency Examination

Y7 Class size is there a limit, is there a level of English required

Y7 Y9 T10 More team sports

Y10 Language exchange can we start a program with our UK, French contacts, also weekend exchange with local Spanish and English from school.

Y10 Could we start a book club for the children. This would be run on a similar basis as the usual adult version. IE Run by a volunteer parent a book is chosen for the children to read and then meet once a month to discuss what they thought about this book.

Leisure/Trips/Activities

Y9 Y10  Duke of Edinburgh Silver Award should  be introduced now that we have the  Bronze one.

Y9 Y10 Cheaper excursions and trips

Y9  The cost of the extra-curricular activities makes them inaccessible for many.  I would be very interested to know what the up-take has been this year.  Also 2hrs is just too long for many kids at the end of a school day, even the early years sports club is 2 hrs long!

Fund Raising

Y9 Y10Fund raising for music and books some of which may be given to charity

Resources still need improvement. The library should surely be a priority?

Y10 The art department is in need of bits and pieces which can be used creatively eg material, could we ask parents to donate caste offs rather than throw them away can we set up a system for donations of this type?

Y10 Could we start a fund raising fund to purchase a mini bus. This could be used for one class at a time short excursions.

Y9 The catering still needs to be addressed. Some other companies should be approached and give quotes. What was the result of the sandwich menu consultation?

At this point a parent from Year 10 asks to speak about an issue affecting her child’s class. The issue is regarding mathematics in Year 10.

Mr White begins to respond to the points and issues brought up. However, given shortage of time, Mr White says he will respond in writing. Once I have received his response, I will forward to the Forum.

3. Monica puts forward the issues and concerns from Nursery-Y2 as below:

Protocol for swine flu: prevention measures are being taken? the need to communicate future cases

What are the new admissions protocols (Do we know how new students are chosen)

Students lunch: surveillance, healthy food, healthier alternatives, mandatory use or parents to act as monitors in lunch hour.

Patio: surveillance, security, the prevention of accidents or possible bullying

Service of psychology in school

External Security cameras

Library: collection of books, borrowing by children

Management uniform standard: too strict with regard shoes and anorak?

Too few field trips and excursions.  Can these be increased?

Extracurricular activities, workshops to be offered by qualified parents voluntarily.

Extracurricular activities: receive information much earlier with complete descriptions of what they involve.

Competion in class: is it the best system for all students: anxiety, stress, ability to adapt to new challenges

Human values

What is the BSB Protocol when parents decide to leave the school? Does school know why? Is the reason always economic?

Is there any legislation or a system of scholarships to receive funds from the BSB and the Government Jointly for students? * (BECAS)

Festivals: is there any chance that a professional can tape the show and then videos be sent to parents as Christmas photos are done?

Can we ask for a class schedule/timetable of activities done each day by our children

Can the school website inform parents already in school of topics covered in class

Are students informed of possible dangers on the Web (Internet) by specialists, are there external visits by police to give a talk to the children?

Mr White mentions that the parents portal should be functioning at the latest by the end of January. Progress is being made.

Mr White ends the meeting at 4 p.m. saying he would have liked to have been able not only to see the concerns and comments from the three areas before the meeting but also to have answered them especially as some have simple answers.

The next meeting is scheduled for Monday 22nd February at 3 p.m.

1. Mr White chairs the meeting and the new represantives are welcomed.

2. It is decided that minutes shall be circulated in English and Spanish and to carry out this task, Roby (Year 4B rep) is named secretary.

3. There is some confusion as to how we will reach all parents in each class. The understanding initially was that as school can not hand out people’s emails, that a letter would be sent out in each class with contact details for the rep. Mr.White undertakes to do this.

4. Each class rep then explains how they are going about contacting parents and informing them of the new parents’ forum. Most are putting together lists for their class.

Though generally there is a very positive attitude amongst parents to the Forum, we hear of one class were a small number of parents are reluctant to become involved. It is suggested that it would be helpful to have a definition of the rep’s task in order to inform parents of where our limits are.

Mr White would like the parents to feel that the doors are open and to feel welcome. Mention is made of how this was not so simple while Mr and Mrs Farré were running the school.

Several topics are brought up with respect to what a rep might be doing for its class. Some are points brought up by parents who have already been contacted by their class rep:

* Reps would help in welcome meetings for new parents, expanding International Day

* Creating a mobile chain for calls or sms to rapidly provide last minute or emergency information to parents. A clear example would have been the recent school bus strikes.

* A rep will deal with topics affecting the class as a whole, not individual needs. For example, organising workshops to inform parents of changes in teaching methods of subjects such as maths.

* Working out ways of bringing together the divide between the Spanish speakers and English speakers.

* Dealing with concerns about school trips, uniforms, lunch and taking the comments and suggestions to Mr White.

* We as reps are recipients of suggestions, ideas and concerns. Once we have these, how to deal with them.

Mr White sees queries from parents as positive for the Forum.

5. Suggestion is made to set up committees to deal with different topics within the Forum.

6. Mention was made of slightly less enthusiastic response from the Secondary parents but this is put down to information not having reached everyone. Hopefully once the information is out about the reps and relaying of information enthusiasm will build up. This is shown by a new parent coming forward to represent Year 10 in today’s meeting.

The next meeting is scheduled for 3 p.m on Monday 14th December.

nuevos.

2. Se decide que las actas se distribuirán en Inglés y Español, y para llevar a cabo esta tarea, Roby (Yr 4B REP) es nombrada secretaria.

3. Hay cierta confusión sobre cómo contactaremos con todos los padres en cada clase. El entendimiento inicial era que, como la escuela no puede entregarnos los emails de los padres, se enviaría una carta por clase dando a conocer los datos de contacto del delegado

4. A continuación cada delegado de clase, explica cómo está llevando a cabo el contacto con los padres para informarles sobre el nuevo forum de padres. La mayoría están haciendo listas para su clase.

Aunque en general la actitud de los padres del colegio con respecto al Forum es muy positivo, se comenta que en una clase existe un pequeño número de padres reacios a involucrarse. Se sugiere que sería útil tener una definición de la tarea del delegado/REP con el fin de informar a los padres sobre nuestros límites.

A Sr. White le gustaría que los padres sientan que las puertas están abiertas y se sientan bienvenidos. Se hace mención de cómo esto no era tan sencillo durante la época de Mr y Mrs Farré.

Se comentan varios temas con respecto a lo que un delegado puede hacer para su clase. Algunos de los puntos son comentarios y consultas realizados por los padres que ya han tenido contacto con su delegado de clase.

*El delegado ayudaría en las reuniones de bienvenida para los padres nuevos en la escuela, ampliar el Día Internacional de la escuela.

*Creación de una cadena de móviles para las llamadas o SMS para ofrecer información urgente ó de última hora a los padres. Un claro ejemplo sería la reciente huelga de autocares de la escuela.

*El delegado se ocupará de los temas que afectan a la clase como una unidad y no las necesidades individuales. Porejemplo, organizar talleres para informar a los padres de los cambios en los métodos de enseñanza de materias como las matemáticas.

*Encontrar la manera de unir más a los grupos castellanoparlantes y angloparlantes.

* Tratar las inquietudes acerca de los viajes escolares, uniformes, comida y transmitir las observaciones y sugerencias al Sr. White.

*Nosotros, como delegados somos los los recipientes de las sugerencias, ideas e inquietudes. Una vez dispongamos de esta información, cual sería el siguiente pasa en tratarlo.

Sr. White ve las consultas de los padres como positivas para el Forum.

5. Se sugiere establecer comités para tratar diferentes temas dentro del Forum.

6. Se hizo mención de la falta de entusiasmo por parte de los padres de secundaria para presentarse como delegados,pero esto se atribuye a que muchas familias no han recibido la información. Esperemos que una vez que la información se extienda sobre los delegados, aumente el entusiasmo. Evidencia de esto es que en la reunión de ayer, se presentó un nuevo delegado para Year 10.

La próxima reunión está prevista a las 15 horas del lunes 14 de diciembre.
